With a continuous stream of incoming specimens and a finite amount of storage space, regular racked specimen disposal is a necessity for most normal operations. tube.tracker facilitates this process by allowing users to set an expiration date for racks added to the system. With this, users can periodically generate lists of expired racks for disposal. Also note that tube.tracker retains specimen information long after the physical specimens have been discarded. This often helps laboratories eliminate the need for awkward and inefficient systems of specimen storage.

  1. Click Manage located under Racks in the left navigation area. A container selection page will be displayed

  2. Next, select the storage container to work with by clicking on one of the underlined container names. Empty containers (with no racks in storage) will not have a clickable link. Main Laboratory, in this example, has no racks and so cannot be selected.

  3. After selecting a container, the Managing Rack page will be displayed. Many rack maintenance functions can be performed from the Managing Racks page including deleting, renewing and transferring racks into another container. Racks on this page are listed by expiration date. Racks that have expired are displayed in red, while active racks are displayed in black and locked racks are displayed in blue. Depending on user preference settings, either all racks or just expired racks will display on this page.

  4. If all racks are already showing, clicking Show Expired Racks will show only expired racks. If only expired racks are showing, clicking on Show All Racks will show all racks both expired and active. For dumping, it is usually helpful to display only expired racks. In this example, all of the racks, except rack 4T, are expired so clicking on Show Expired Racks will show the exact same rack listing sans rack 4T.
  5. Select the racks you wish to delete by clicking the check box on the left next to the Rack ID. Alternatively, you can check all boxes in the list by clicking the top box in the gray table header area. (Printing the page at this point will produce a handy list to assist in the physical retrieval of expired racks.) Once the racks have been selected, click the Delete Racks button.

  6. A page confirming the Rack IDs to be dumped will display. At this point you can attach a note to the racks being dumped.

  7. At this point you can attach a note to this event. To attach a note, click the Add Note checkbox and the note text area will appear. Type the note into this space.
  8. After checking the list, click Yes to confirm that all racks are being discarded. Clicking No will cancel the delete operation and return you to the Managing Racks page (step 3).
