Searching for specimens

After spending time adding and deleting countless specimens and racks, the real benefit of tube.tracker® is realized in the specimen search. Here, one has the ability to scan millions of specimens in under one second. A specimen's history is retained well after it has been disposed. Savings from not having to manually search for specimens that don't exist may be even more valuable than finding those that do

  1. Click Search located in the left navigation area. The Specimen Search Page will be displayed.

  2. Type the specimen ID you wish to search for into the Specimen ID search box. Hit Enter on the keyboard or click Search to search the tube.tracker® database. Note: You can also perform a wildcard search by adding an asterisk '*' to the search term.

  3. tube.tracker® will display the results of the search. You will note that the search box appears again at the top of the search results page. You can perform multiple searches in succession without having to go back to the main specimen search screen.

  4. If any specimens were found they will be displayed in one of two sections:
    1. Active Specimens: - Specimens that are currently active in tube.tracker® will be listed in this section. The Rack ID, rack position, entry time, and current container and who entered it into the system for each active specimen found are listed. From here, specimens can be added to a picklist, allowing a user to work with a group of selected specimens spanning multiple racks and containers. Note: See the Picklist Help Section for more information. Users can also attach a note to any specimen that appears in the search results by clicking the Add button in the Note column.
    2. Discarded Specimens: Specimens that have been discarded are listed in this section. Here, the Rack ID, rack position, entry time, who entered the specimen, deletion time, and who deleted the specimen are listed. Discarded specimens remain in the tube.tracker® database indefinitely. Site administrators can request discarded specimen information to be purged.
  5. tube.tracker® allows multiple specimens to have the same ID number. This allows the system to handle split samples, aliquots, and multiple draws. If multiple samples using the same ID are stored, tube.tracker® will return all samples found.
  6. Clicking a Rack ID (under the Rack ID column) will display a detailed audit log of the selected specimen.
  7. The Specimen History screen shows an auditing log of every event associated with a specific specimen. Each entry shows an event time, action, and user account performing the action. The vast majority of specimens will have only a Specimen Entered and Specimen Deleted events. Note': Multiple specimens with the same Specimen ID will have different specimen histories. tube.tracker® uses Specimen ID and Rack ID to uniquely identify all specimens. Users can also attach a note to this specimen by clicking on the Add Specimen Note button.
